Dayton, OhioMTSI is seeking an Executive Assistant for our AFLCMC classified customer. This position will require the candidate to manage the day-to-day activities for a Materiel Leader (ML) in an on-site capacity.
Responsibilities:
● Serve as the primary point of contact (POC) for the Materiel Leader's (ML) calendars, daily schedule, email correspondence, and workflow management across multiple networks (both unclassified and classified) in a fast-paced work environment.
● Act as a key member of the ML’s staff by managing daily correspondence and coordinating interactions (via email, phone, and in-person) with various organizations and stakeholders.
● Track Integrated Product Team (IPT) manning and prepare updated organizational charts.
● Perform accurate data entry for reports and presentation materials, ensuring integrated and comprehensive information delivery.
● Create and maintain training requirements, files, forms, and file plans (both electronic and paper-based).
● Draft correspondence in accordance with standard Government formats for both classified and unclassified communication. Operate and manage office equipment (e.g., facsimiles, printers, and copiers) as well as coordinate supply requisitions.
● Assist with drafting monthly activity reports.
● Support award write-ups and submission packages, adhering to numerous format requirements.
● Collaborate on the creation, editing, and publication of program documentation, directives, reports, plans, briefings, and other materials (technical/non-technical, classified/unclassified) in the requested formats.
● Assist in the establishment, implementation, and maintenance of Operating Instructions, including creating and updating branch documentation.
● Verify checklists against current administrative/organizational processes and maintain tracking systems to identify and correct deficiencies.
● Manage office supply inventories by gathering requests, preparing itemized lists, and coordinating purchasing by the Government office to enable mission fulfillment.
● Serve as the initial POC for collating and visually displaying materials for staff and information exchange meetings.
● Act as the centralized POC for receiving, coordinating, tracking progress, and closing all taskers directed to the division or branch's Workflow Inbox. Send reminder/follow-up emails to Offices of Primary Responsibility (OPRs) to ensure task completion and archive tasking documentation in the appropriate repository.
● Lead administrative efforts during events, including compiling attendee lists, sending invitations, coordinating venues, managing logistics for presentations (classified/unclassified), and managing attendee check-in processes.
● Complete travel approval requests and submit vouchers post-travel in compliance with the Defense Travel System (DTS) orders and requirements.
● Maintain comprehensive and organized file systems for the branch/division.
● Perform additional administrative or operational duties as assigned.
Qualifications:
• 8+ years of experience directly related to the above responsibilities and at least a high school diploma, or equivalent (GED). A bachelor's degree is preferred.
• Top-Secret Security Clearance with ability to obtain SCI. Duties will require unescorted entry and work within classified SAP and SCI facilities.
• Ability to multitask efficiently, be detail oriented and customer service oriented.
• Proficient in using Microsoft products. Experience with SharePoint and Confluence is preferred but not required.
